Privacy policy

This policy explains what we collect when you use Talkin, why we collect it, and what you can ask us to do with it. Voice agents handle recorded conversations, so we have tried to be specific rather than vague.

1. Who we are

Talkin (“we”, “us”) provides AI voice agents that answer calls on behalf of businesses. For the account data of our customers we act as the data controller. For the call data our agents handle on a customer's behalf — what their callers say, and what the agent does about it — we act as a data processor, and the customer is the controller.

If you called a business and reached one of our agents, the business you called is responsible for that conversation. Contact them first; we will help them respond.

2. What we collect

Account data

  • Your name, email address and password hash.
  • Your business name, category, opening hours and the details you give the agent to work from.
  • Billing details, held by our payment processor — we never see or store full card numbers.

Call data

  • Audio of calls the agent answers, where recording is enabled on the account.
  • Transcripts of those calls, and the structured outcome — a booking, an order, a captured lead.
  • Caller phone number, call time and duration.

Technical data

  • IP address, browser and device type, and the pages you visit in the dashboard.
  • Log records of errors and requests, kept so we can diagnose faults.

3. Why we use it

  • To run the service — answering calls, making bookings, showing you what happened.
  • To bill you — measuring minutes used against your plan.
  • To keep the service secure — detecting abuse, fraud and misuse of the phone network.
  • To support you — investigating a call that went wrong when you ask us to.
  • To meet legal obligations — tax records, and lawful requests we are obliged to answer.

Our legal bases are performance of our contract with you, our legitimate interest in operating and securing the service, and, where required, your consent — which you may withdraw at any time.

4. What we do not do

  • We do not sell personal data, and we never have.
  • We do not use your calls or your customers' calls to train public AI models.
  • We do not serve advertising, and we run no advertising or cross-site tracking cookies.

5. Who we share it with

We share data only with the providers needed to deliver the service, each bound by a data processing agreement: our cloud hosting provider, our speech and language model provider, our telephony provider and our payment processor. We also share data with the integrations you connect yourself — your calendar or CRM — because you asked us to write to them.

We may disclose data where the law requires it. Where we are permitted to tell you, we will.

6. Where it is stored

Data is stored on servers in the European Union, encrypted in transit with TLS and at rest. Where a provider processes data outside the EEA, that transfer is covered by Standard Contractual Clauses.

7. How long we keep it

  • Call recordings and transcripts — for as long as your account is open, or until you delete them. You can clear calls from your dashboard at any time.
  • Account data — until you close your account, then deleted within 30 days.
  • Billing records — for as long as tax law requires, typically seven years.
  • Technical logs — 90 days.

8. Call recording and consent

Recording rules differ by country, and in many places every party to a call must be told it is being recorded. If you enable recording, you are responsible for announcing it to your callers. The agent can be configured to say so at the start of every call, and we recommend leaving that on.

9. Your rights

If you are in the EEA or the UK you may ask us to give you a copy of your data, correct it, delete it, restrict or object to its processing, or export it in a portable form. You may also complain to your local data protection authority.

10. Children

The service is for businesses and is not directed at children. We do not knowingly collect data from anyone under 16. If you believe we have, tell us and we will delete it.

11. Changes

When we change this policy we will update the date at the top, and for material changes we will email account holders before the change takes effect.
